This privacy notice explains what to expect us to do with your personal information when you use Talk To Dot.

Who we are

Talk To Dot Ltd is the data controller for the personal information described in this notice. Our registered address is 167-169 Great Portland Street, 5th Floor, London, W1W 5PF. This is not a correspondence address — email support@talktodot.app or call 0203 916 5734 to get in touch.

We are registered with the Information Commissioner's Office (ICO). Registration number: ZC229365.

What we collect, why, and on what basis

Under UK data protection law, we need a lawful basis for each way we use your personal information. Which basis applies affects which rights are available for that particular use — broadly: under contract you don't have the right to object; under legitimate interests you do have the right to object, but not to portability; under consent you can withdraw at any time. The full list of your rights is set out further down this page.

Providing the service (transcription, accounts, subscriptions)

Basis: Contract. We can't provide Talk To Dot without your email (to create and secure your account), your session and usage data (to run and bill the service), and your subscription/account records.

Also legitimate interests, for using session data (e.g. session duration, error rates) to monitor and improve service reliability — this benefits customers through a more dependable product, uses only data already generated by delivering the service, isn't used for profiling, and is what any subscriber to an ongoing service would reasonably expect.

Account security

Basis: Contract and legitimate interests. We use login activity and rate-limiting signals to protect accounts from unauthorised access and abuse, and keep accurate subscription records for resolving billing queries. This is limited to what's needed for account security and administration, and directly benefits you by protecting your account.

Post-signup survey

Basis: Explicit consent. Shortly after you sign up, we may show a short, optional survey — including a question asking how you'd best describe yourself (for example, a person with hearing loss, a family member or carer, or an interpreter or professional). Because an answer to that question may touch on health information, we only collect it with your explicit, freely-given consent: every question is skippable, and skipping has no effect on your account. The information you provide is a broad, self-described category — not a medical diagnosis — and is used only to help us prioritise which features to build next. It is never used to profile you, and is never shared or sold to anyone else. You can delete your survey responses at any time from your account page.

Website prospect survey

Basis: Explicit consent. If you leave your email via the newsletter/waitlist form or the coming-soon notify form on this website, we may also show an optional question asking how you'd best describe yourself (for example, a person with hearing loss, a family member or friend, a carer, a healthcare professional, or an interpreter) — the same question the in-app Post-signup survey above asks, offered here to visitors who haven't signed up for the app yet. Because an answer to that question may touch on health information, we only collect it if you choose to answer: the field is optional and left blank by default, and only selecting a specific option counts as consent. The information you provide is a broad, self-described category — not a medical diagnosis — and is used only to help us prioritise which features to build next. It is never used to profile you, and is never shared or sold to anyone else. If you later sign up for Talk To Dot using the same email address, your answer is copied into your account (so we don't ask you again) and this standalone record is deleted; if you never sign up, we delete it automatically after 12 months.

Service updates

Basis: Contract and legitimate interests. We may contact you about material changes to the service or its terms, or about service disruptions. This is limited to operational communications — not promotional — and is what any active subscriber would expect.

Marketing

Basis: Consent. If you opt in — for example via the checkbox on our contact form, or the post-signup survey above — we may send you marketing emails about new features and offers. This is always opt-in, never assumed, and you can withdraw consent and unsubscribe at any time.

Handling queries, complaints, and feedback

Basis: Legitimate interests, and contract where the query relates to your existing subscription. We use whatever you tell us when you contact us — via the in-app feedback form or support@talktodot.app — to respond to you. This is necessary to handle contact you initiated yourself, benefits you directly by resolving your issue, and is limited to what you choose to share with us.

Payment

We do not store your payment card or bank details. Payments are processed by Paddle.com, who act as the Merchant of Record for all Talk To Dot subscriptions — see "Where we get your information from" below for how Paddle fits in. Paddle's own privacy policy governs how it handles your payment information.

Your rights

  • Access — ask for a copy of the personal information we hold about you.
  • Rectification — ask us to correct inaccurate or incomplete information.
  • Erasure — ask us to delete your personal information (you can also do this yourself for your account data, via your account page).
  • Restriction — ask us to limit how we use your information.
  • Objection — object to processing based on legitimate interests.
  • Portability — ask us to transfer the information you gave us to another organisation, or to you, in a machine-readable format.
  • Withdraw consent — where we rely on consent (e.g. future marketing), withdraw it at any time.

Audio data

Talk To Dot streams audio from your device's microphone to Speechmatics (our transcription provider) in real time. We do not store any audio recordings. Audio is processed in memory only and discarded immediately after transcription.

Cookies

Talk To Dot uses one cookie: a session cookie set by Supabase to keep you signed in. This cookie is strictly necessary for the service to work and does not require your consent.

The Talk To Dot marketing website (talktodot.app) uses Google Analytics to understand how people find and use the site. We ask for your consent before loading Google Analytics cookies, and record that choice so we don't ask again. You can withdraw consent at any time by clicking Decline in the cookie banner.

Where we get your information from

Directly from you — when you sign up, use the service, contact us, or leave your email for product updates via the website.

We also receive information from Paddle.com Limited, our payment processor and Merchant of Record. When you complete checkout via Paddle, Paddle sends us your subscription status, tier, and billing period dates via webhook, so we can activate and manage your subscription. Paddle acts as an independent controller — not our processor — for the payment, tax, and fraud-related data it handles as merchant of record for these transactions, and does not share your card or bank details with us.

We also share information with our professional and legal advisors (e.g. our accountant), relevant regulatory authorities (e.g. HMRC, the ICO) where required, and anyone we're legally obliged to share information with (e.g. in response to a court order).

Where a processor is based outside the UK, we make sure appropriate safeguards are in place:

Supabase's data for Talk To Dot is hosted in the UK (eu-west-2), so this doesn't currently involve an international transfer.

How long we keep your data

Paddle retains transaction records for as long as required by its own legal obligations as Merchant of Record — this is outside our control.

Changes to this policy

We'll notify you of significant changes by updating the date at the top of this page. Continued use of Talk To Dot after changes are published means you accept them.
